Hogsback Preparation - 6 Days Out

The Hogsback Half Marathon is 6 days away and I thought I would share what's going on in the world of the race director at this point in time.  Below is my annotated to-do list for the race:


Amazon -- Order must be place for THURSDAY delivery:

  • Reflective Vests (order two additional yellow vests for parking volunteers pre-race)
  • Med Kit (supplies to re-fill the medical backpack -- Hot and Cold packs, ace bandage, band aids, glucose tabs, Benadryl, Neosporin, triangle bandage & wound cleaner)
  • Speaker with Microphone (is this worth the cost -- check with Shaun ???)
  • Plastic Gloves (6 boxes, 1 per aid station for volunteers

Communications:

  1. Email / Posting to confirm walker/runner start list (do this within 24 hours of race selling out should be Saturday or Sunday)
  2. Assign bib numbers (Sunday)
  3. Print bib labels (Sunday)
  4. Publish list with bib numbers (Sunday)
  5. Confirm truck both ways (E-mail dad on this -- will need the truck for the additional tables)
  6. Confirm cookie delivery (Monday -- Kelly)
  7. Confirm Lions Club (Monday -- Shaun)
  8. Instructions email to Runners  (Sunday - Follow up Thursday -- also FaceBook post and Tweet)
  9. Send out coordinating volunteer email  (Monday / Tuesday -- Set up crew by 6 a.m.; Registration volunteers by 7 a.m.; Water Station by 8 a.m.; Finish line by 10 a.m.)
Attaching the B Tags to the bibs

Shirts:

  1. Put aside the shirts that were purchased (Sunday)
  2. Sort shirts for packet pick up -- separate volunteer shirts (Tuesday)


Food:

  1. Finalize with caterer (Mom to follow up -- also need to make sure we have enough sterno and pans.  Kim to do initial food set up before Mom and Sue arrive with hot food).  
  2. Geislers List (Shaun to talk to Eric.  Water and Fruit.  Delivery by Thursday afternoon).
  3. Costco List (Need to purchase from Costco by Tuesday night.  Question whether Shaun and I need to get a membership)


Items to Prep Race Day:

  1. Registration Lists -- 10 copies
  2. Course Maps -- 100 copies plus larger maps to display
  3. Race Signs -- out of storage and staged for race day
  4. Raffle prizes -- Post / Tweet about prizes and thank sponsors
  5. Parking -- confirm logistics with MDC
  6. Unwrap medals (Question whether to do this pre-race or whether to have volunteers unwrap on site???)
Pre-race state of the garage



List for Costco (Tuesday): 

  • 4k cups (7-9oz paper)
  • Plates (400 big & 400 small) / Napkins / Cutlery (1k)
  • Sterno (one case)
  • 2 additional tables (large tables)
  • Bagels (10 dozen assorted -- need to slice pre-race, give these to Mom)
  • Brownie Mix -- make sure we have enough eggs
  • Peanut Butter (please do not purchase Nutella, I will eat it)
  • Soda (5 or 6 cases -- also need to remember the kiddie pools and ice for the soda)
  • Black trash bags
List for Lyman Orchards (Wednesday / Thursday):

***Email/Call first to see about possibility of donation
  • Apples (2 bushels)
  • Apple Pies (4 -- also talk to Tiffany about baking pies)
List for Geisslers (Thursday):
  • 10 20# bags of ice
  • 15 cases water
  • 100 oranges
  • 200 bananas

On course nutrition:

Verify Skratch concentration -- 2 bags/ 5 gallon jug
Divide gels between aid stations 6 and 10

Boxes of Skratch arrived
